The best dictation software for Windows — an honest shortlist

Let me get the conflict of interest out of the way in the first line: I make one of the apps on this list. So read this the way you would read a restaurant review written by a chef — trust me on the kitchen, discount me on my own menu.

I wrote this because the existing lists are useless. They rank ten apps by star ratings without ever asking what you are going to do with the thing. Four questions decide it. Everything else is noise.

The four questions

1. Is your text allowed to leave the computer? If you dictate client contracts, medical notes or anything under an NDA, this single question eliminates most of the market. Cloud dictation sends your words to someone else's servers by design.

2. Are you dictating, or transcribing? Dictation types live, where your cursor is. Transcription converts a recording afterwards. Otter and its cousins are excellent at the second job and frustrating at the first. Do not buy one for the other.

3. Do you want to rent or to own? Most of the modern apps are subscriptions. Over three years that is real money for a tool you use every day.

4. How many languages, and do you switch mid-sentence? If you write in one language, almost anything works. If you drop English terms into Polish sentences the way half of Europe does, most tools force you into a settings menu every time.

The shortlist

Windows Voice Access — free, already installed. Genuinely start here. Press Win+H and use it for a week. It is decent in English, it costs nothing, and if it covers your work then close this page and keep your money. Where it runs out: filler words stay in, punctuation is a fight, and quality drops off sharply outside the major languages.

Dragon — the old professional. Nobody matches its medical and legal vocabularies. If you dictate specialist terminology all day long, it is still the answer. Be ready for the price, the weight, and licensing that feels like it was designed in 2011.

Wispr Flow — the polished modern one. Fast, pleasant, deservedly popular. It is also cloud-based, subscription-only and Mac-first. If question one mattered to you, this is where you stop.

superwhisper and MacWhisper — excellent, and not for you. Both are Mac-only. I mention them because they keep showing up in "best for Windows" lists written by people who never opened Windows.

Commander Flow — mine. Recognition and text clean-up both run on your own machine, there is a pay-once option, it covers 25 European languages and you can switch between them mid-sentence. You can also select text anywhere and say "rewrite this" or "translate this" and it changes in place.

And the part the marketing page will not tell you — do not buy mine if: you are on a Mac; you need medical or legal dictionaries; your PC cannot spare a few gigabytes of RAM for the model; or you were hoping for free, because Voice Access already is.

Test any of them in ten minutes

Skip the review sites and run this yourself. Open the app you actually work in — not a text editor, the real one. Dictate three paragraphs at your normal speed, with your normal accent, without slowing down for the microphone. Then count three things: how many words came out wrong, how many times you had to touch the keyboard to fix punctuation, and whether the app kept up or lagged behind your speech.

Ten minutes of that tells you more than any comparison table, including this one.

For a lot of people, yes. Try Win+H for a week first. If it does the job, do not pay anyone.

What is the difference between dictation and transcription?

Does offline recognition understand speech worse?

Not for everyday speech any more. The difference appears on rare names and narrow professional terms, where a large cloud model still wins.
